Navigating VerifyTreatment and Verifying Benefits
Welcome to VerifyTreatment! This guide walks you through navigating the platform, running a Verification of Benefits (VOB), understanding plan details, and troubleshooting errors.
Section 1: Getting Started & Running a Verification
When you log in, you will land on the Verifications List, which displays every verification within your organization in chronological order. You can find specific files using the search bar or the customizable filters.
To run a new verification:
1. Click the orange button in the top right corner.
2. Select your facility from the dropdown menu.
3. Select your insurance provider. Tip: the top 5 most common providers are listed by default. If yours isn't there, type the first few letters to auto-populate it.
4. Input the member's insurance details.
5. Click Save and Verify.
Section 2: Understanding the VOB Details Tab
Once verified, you will be taken to the VOB Details tab. This tab aggregates all critical demographic and policy data into distinct sections:
Payer Alerts: Colorful banners at the top that act like digital sticky notes. Use these to assign notes to specific policies and relay important messages across your organization.
Demographic & Coverage Information: Displays basic member info and indicates whether the policy is currently active and/or has a future termination date.
Employer/Group Name: Basic details regarding the group, school, employer, or union that issued the insurance policy.
Plan/Product Information: Identifies the specific type of policy you are working with.
Patient/Subscriber Information: Details the main policyholder and their relationship to the member.
System Information: A digital paper trail showing who initially created the verification and who last edited it.
Section 3: Reviewing In-Network & Out-of-Network Benefits
Whether you are looking at In-Network or Out-of-Network benefits, the layout is identically formatted for easy reading. Both the Deductible and Out-of-Pocket sections follow a three-row structure:
Total: The total dollar amount required by the plan.
Met: The amount the patient has already paid toward the total.
Remaining: The remaining amount left to be paid.
Pro-Tip: If you are dealing with a long policy description, use the Quick Nav menu on the right-hand side to instantly jump to specific benefit details without scrolling endlessly.
Section 4: Advanced Features & Internal Collaboration
VOB History Tab: Shows a chronological timeline of every time the member's benefits have been verified. Perfect for cross-checking changes in insurance payers or tracking past inactive statuses.
HIPAA-Compliant Chat Box: A fully encrypted chat feature built right into the platform, allowing you to safely coordinate and relay information between departments.
Image Uploads: Easily upload and attach images of physical insurance cards directly to the member's file.
Save as PDF: Click the Save as PDF button at the top to export a clean, printer-friendly version of the digital file. Perfect for face sheets or referral purposes.
Section 5: Troubleshooting & Support
If something goes wrong during the verification process, the system will flag it immediately.
Handling Error Messages: If a verification fails, a red icon will appear next to the policy. Clicking into it will reveal a large red banner containing a general synopsis of the error and a unique reference number.
Submitting a Support Ticket: If you have verified that the insurance information perfectly matches the patient's card but you are still receiving an error, click the Need Help icon and submit a support ticket. The team handles these efficiently to get you moving again.
Section 6: Account Analytics
To track your overall operations, check out the Dashboard feature. As your organization continues to use VerifyTreatment, this dashboard will gradually populate with real-time usage data and system analytics.
